StudioPilot is operated by PeakMode, LLC, an Oklahoma limited liability company (“we,” “us,” or “our”). This Privacy Policy explains how we collect, use, store, and share information when you use the StudioPilot service available at thestudiopilot.com and any related subdomains (the “Service”).
By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.
We collect the following categories of information:
Account information. When you create a StudioPilot account, we collect your email address and a hashed copy of your password. We never store your password in plain text.
Studio profile information. Information you provide when configuring your studio profile, including your studio name, business description, services offered, pricing, availability windows, and voice or tone preferences used to generate replies.
Client inquiry information. When you receive or input client inquiries into the Service, we process and store the client’s name, email address, the content of their inquiry, and the AI-generated reply. This data is associated with your studio account.
Payment and deposit information. When you use payment features of the Service (including deposits, invoices, and checkout flows), we collect transaction information necessary to process payments. Payment card details are processed by our payment provider (Stripe) and are not stored by StudioPilot. We retain transaction records, amounts, and timestamps.
Calendar information. When you connect a calendar service (such as Google Calendar) to the Service, we access calendar event data necessary to determine your availability. We do not store the full content of unrelated calendar events; we read availability windows in real time and cache only the minimum data required to function.
Technical information. We automatically collect limited technical data when you use the Service, including IP address, browser type, device type, and timestamps of your activity. This data is used for security, rate limiting, and service reliability.
Session information. We use a server-side session cookie (stored in our database) to keep you logged in. The session cookie contains only a session identifier — no personal data is stored in the cookie itself.

To generate AI replies, the Service sends inquiry text and your studio profile context to Polsia, an AI infrastructure provider. Polsia routes these requests to Anthropic’s Claude API for processing. Data handling by these providers is governed by their respective privacy policies, available at polsia.com and anthropic.com. We send only the data necessary to generate a reply.

We retain your account information and studio profile for as long as your account is active. We retain inquiry data for as long as you keep it in your account; you can delete inquiries at any time. Payment transaction records are retained for the period required by applicable tax and accounting law (typically seven years).
When you delete your account, we will delete or anonymize your personal information within 30 days, except where retention is required by law (such as tax records).

The Service is intended for adults operating photography or creative studios. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.
We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and by posting the updated policy at this URL with a new “Last updated” date. Continued use of the Service after the effective date of changes constitutes acceptance of the updated policy.
